This Privacy Policy explains how Diomard Club ("we", "us", "our") collects, stores, uses and discloses your personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario privacy legislation. We are committed to protecting your privacy and ensuring you have a positive experience on our premises and online.
1. Information We Collect
We collect personal information directly from you and, where permitted by law, from third parties. The categories of information we may collect include:
- Identity & Contact: Full name, date of birth, residential address, email address, phone number and photo identification for membership verification.
- Membership Data: Membership tier, join date, rewards balance, transaction history, visit frequency and gaming preferences.
- Financial Information: Payment card details (processed securely by our PCI-DSS compliant payment provider — we do not store raw card numbers), transaction records and redemption history.
- Gaming Data: Where required by the Alcohol and Gaming Commission of Ontario (AGCO) and responsible gambling obligations, we record gaming session data, machine usage and voluntary self-exclusion registrations.
- Technical Data: IP address, browser type, device identifiers, pages visited and referral sources when you use our website.
- Communications: Records of enquiries, complaints, event bookings and correspondence you send us.
2. How We Use Your Information
We use your personal information only for the purposes for which it was collected or for compatible purposes, including:
- Administering your club membership and Signature Rewards account
- Processing bookings, event registrations and payments

3. Sharing Your Information
We do not sell your personal information. We may share information with:
- Service Providers: IT systems, payment processors, email platforms and analytics vendors acting on our instructions under strict data processing agreements.
- Regulatory Bodies: The AGCO, Ontario Police and other government authorities where required by law.

4. Data Retention
We retain personal information only as long as necessary to fulfil the purposes described above, or as required by law. Gaming records are retained for a minimum of seven (7) years per regulatory requirements. Membership data is retained for three (3) years following account closure unless a longer period is required by law. You may request deletion of your data subject to legal retention obligations by contacting us below.
